Terms of use
The terms that apply when you use the club's websites and membership service. Last updated September 2026.
1. Who we are and what these terms cover
These terms apply to the websites operated by the Space Coast Aquarium Society — a volunteer-run registered 501(c)(3) non-profit club — including spacecoastas.org and the club membership service at scas.fish. By creating an account, submitting a membership application, registering for an event or asking the club to text you, you agree to these terms.
2. Your account and your details
Keep your contact details current, because that is how the club reaches you about renewals, events and payments. You are responsible for activity that happens under your sign-in. Do not share your password. Tell us at socials@spacecoastas.org if you think someone else has used your account.
One membership belongs to one person or household. If you sign up more than once, an officer will match the records rather than create a second membership.
3. Membership and dues
Membership dues, membership types and what each includes are shown on the club's pages and can be changed by the club's committee. A membership covers the period recorded on your membership record; your paid-through date is shown in your member portal.
Payments are taken by the methods the club lists at the time — currently the club's online payment page, or cash or cheque at a meeting. If you pay online and the club has not seen your payment, you can report it in your member portal. A reported payment stays reported until the treasurer has matched it to your membership; it is not a receipt, and your membership is not renewed until that check is complete. Dues are generally not refunded once a membership term has begun, except where the club's committee decides otherwise.
The club's payment pages are provided by our payment processor. We never see or store your full card number, and we never ask for your bank login.
4. Events, tables and forms
Event registration, table reservations and any associated charges are offered for that event only. Tables and other limited items are first come, first served, and a table is only yours once the confirmation requirement for that event has been met. Where an event requires forms — a vendor agreement, a liability waiver, an electrical or accessibility form — you complete and acknowledge them at the time, and the club keeps a record of the version you accepted.
Cancellations and refunds follow the policy published for that event. If an event is cancelled by the club, fees paid for it are refunded or credited as the club decides.
5. Award programs
Breeder and horticultural award programs run under published rules and point schedules. Submissions are reviewed by club volunteers, and the rule version in force when your submission was approved is the one that applies to it. Decisions and points are recorded on your member record.
6. Messages
The club only sends text messages and emails to people who have asked for them. Message frequency varies, with no more than about 4 messages per month, and message and data rates may apply. Reply STOP to any message to stop text messages and HELP for help. Our messaging terms explain what we send and how you opt in.
7. Acceptable use
Use the service for your own membership and for the purposes the club offers it. Do not attempt to see another member's information, disrupt the service, upload malicious code, or use it to post anything unlawful, harassing or infringing. Officers may correct or remove content that breaks these terms.
8. Privacy
How we handle personal information, including mobile numbers, is described in our privacy policy. In short: we do not sell your information, we do not share your mobile number with third parties for marketing, and mobile numbers are never published.
9. Availability and no warranty
The service is provided by a volunteer-run club on a best-efforts basis. It may be unavailable for maintenance, and features may change as the club's needs change. The club is not responsible for content on websites we link to.
10. Limitation of liability
To the extent permitted by law, the club and its volunteers are not liable for indirect or consequential loss arising from use of the service, and the club's liability for any claim is limited to the amount you have paid the club in the twelve months before the claim.
11. Changes to these terms
We may update these terms. The current version, with its date, is always the one published on this page, and significant changes are announced to members.
